How luggage forwarding works

At an eligible hotel, carrier office, agency, or participating counter, the sender completes a waybill with the destination and requested delivery date. The carrier accepts the packed bag and provides a receipt or tracking number. The bag then travels separately to an eligible hotel, staffed property, carrier office, airport counter, or other supported destination.

Delivery is not universally next day. Yamato says standard delivery takes at least one day or two days depending on distance. Its vacation-rental guidance describes a one-to-three-day range depending on the area. Selected same-day services exist, but they are geographically limited.

Hotel to hotel

  1. Ask the sending hotel whether it handles the chosen carrier.
  2. Ask the receiving hotel whether it will accept and hold the bag.
  3. Request the exact postal code, address, telephone number, and guest-label format.
  4. Match the guest name to the reservation.
  5. Add the check-in date or reservation reference only as the hotel instructs.
  6. Confirm when the receiving hotel wants the bag to arrive.

Yamato advises arranging hotel delivery so that the bag arrives at least one day before the stay. This is carrier guidance, not proof that every hotel will accept a parcel early.

Staffed rental versus unstaffed Airbnb

The booking platform is less important than the receiving arrangement. Yamato says delivery to a vacation rental is possible when a reception desk can accept the parcel and is not available when the property has no reception desk.

Obtain explicit confirmation from the property. For an unstaffed rental, carry the bag, use qualifying same-day storage, or arrange pickup at a suitable Yamato sales office.

Yamato sales-office pickup

Select the exact office before completing the waybill and confirm that it provides the required service. Enter its details accurately and wait until tracking shows that the parcel has arrived before attempting collection.

For normal-temperature parcels sent for sales-office pickup, Yamato’s standard holding period is seven days including the day the parcel arrives. Yamato notes that, for regions requiring two-day shipping, the arrival date or storage period is extended by one day. Convenience-store drop-off

The word “storage” can describe several situations that follow different clocks. Do not use one rule for all four.

These are not interchangeable:

  • Day-only counter storage is useful for sightseeing before check-in or after checkout.

Only certain Yamato counters provide temporary storage. Check the selected location’s services, business hours, price, parcel limits, and same-day collection deadline.

Shinkansen oversized-baggage rules are separate

Forwarding a suitcase and reserving Shinkansen baggage space are separate decisions.

On the Tokaido, Sanyo, Kyushu, and Nishi Kyushu Shinkansen, baggage with total dimensions of more than 160 cm and up to 250 cm—length plus width plus height—requires a seat with an oversized-baggage area or compartment under the applicable rules. JR Central currently lists a ¥1,000 charge when qualifying baggage is brought aboard without the required reservation. Baggage over 250 cm cannot be brought aboard under these rules.

Bags with total dimensions of 160 cm or less do not require that special reservation, although they must still be stored safely. Strollers and certain other items have separate treatment, but a reservation is required if the traveler wants to use the designated oversized-baggage space.

Kyoto to Osaka with one night elsewhere
